Finish your day, by checking if all tasks from the calendar were done and moving them to the other day, if not.Use all the time outside of obligatory tasks from your calendar to perform tasks from the list nextaction.Now when everything is well-organized and under control, you can plan each day by: Check projects -which tasks can be added to make a progress during the next week.Review lists and labels: 1) delegated - to see, if everything was done on time or need to be postponed 2) incubator - to check, if I have time or resources to perform some of the tasks from this list 3) calendar - to check arrangements for the next week 4) nextaction - to check if all tasks there are relevant or should be deleted or moved to the incubator.Remark: if during the week, I get an urgent task with a specific deadline, I don’t move it to the specific project, but I assign it to the specific date. Once a week I take 30 minutes to do the steps below: The idea of this step is to review your system regularly, so you are sure, your lists are actualized and the next action was created for each task. Also add the information, when it was delegated and the deadline, so it will also appear in my calendar. Label “delegated “- if the task will be done by the other person.Optionally I add a label with the location or person, it’s connected with. Label “next action “- if the task doesn’t have a specific deadline.Specific date - if the task has a deadline.The rest of the tasks are moved to the specific project, using also the next criteria: When my system is created, I move tasks, which can’t be done soon from inbox to incubator. Labels are great for pulling together tasks by location, person, or type of work.
